Position: Project Coordinator (Permanent)

Salary: $70,000 – $75,000 annually

Local company seeking detail-oriented Service Department Project Coordinator to support service technicians. This role assists with administrative, scheduling, and coordination tasks related to system repairs and replacement projects. The ideal candidate is organized, proactive, and comfortable working in a fast-paced office setting.

Job responsibilities:

• Prepare repair and replacement proposals as directed by service technicians, including:

  • Requesting quotes from suppliers and subcontractors

  • Collecting submittals and equipment manuals

  • Updating bid sheets and distributing proposals to customers

• Set up approved jobs in internal systems and databases

• Order equipment and materials and track deliveries

• Maintain accurate purchasing, delivery, and job records

• Dispatch service and trouble calls and generate service tickets

• Coordinate schedules with service technicians, customers, property managers, and subcontractors

• Receive deliveries, notify appropriate staff, and submit documentation to accounting

• Maintain calendars for equipment pick-ups and deliveries

• Serve as a liaison between customers, technicians, and suppliers to resolve technical or scheduling issues

• Provide general administrative and operational support to the service team

• Perform other duties as assigned

Qualifications:

• Two or more years of administrative experience in construction, or a related industry

• Strong organizational skills with the ability to prioritize and multitask

• High attention to detail and accuracy

• Ability to work effectively in a fast-paced environment with frequent interruptions

• Strong interpersonal and communication skills (written and verbal)

• Ability to work independently with minimal supervision

• Team-oriented with a professional and positive attitude

• Discretion in handling sensitive or confidential information

• Strong problem-solving skills and sound judgment

• Self-motivated and eager to learn and grow
