We are seeking a detail-oriented and proactive Operations Assistant to support the daily operations of our firm. This role provides administrative and technical support to the Tax, Audit, and Consulting divisions, including processing financial statements, tax returns, and proposals; managing client data; and coordinating internal communications. The Operations Assistant also plays a key role in firm-wide administrative tasks such as scanning, mail handling, database updates, and greeting visitors. The ideal candidate is organized, eager to contribute to the success of the team, and comes with prior experience in a CPA firm.

Job Duties:

  • Process financial statements, tax returns, proposals, and engagement letters
  • Support e-filing and maintain accurate client data
  • Assist with internal communications, including newsletters and company updates
  • Provide administrative support to multiple divisions as needed
  • Handle firm-wide tasks such as scanning, mail distribution, copier maintenance, and database updates
  • Greet visitors, route incoming calls, and assist with office errands in the downtown area
  • Maintain cleanliness of shared spaces and support office safety protocols
  • Collaborate with colleagues and leadership to meet deadlines and improve workflow
  • Perform other duties as assigned based on firm needs

ESSENTIAL DUTIES:

  • Work with customers to coordinate shipments to and from warehouse to meet delivery

WORK ENVIRONMENT:

  • Must be able to stand and sit for prolonged periods of time. Must be able to walk, stoop, hear and talk on a regular basis

Hand selects orders within various warehouse environments of fluctuating temperatures, including Dry, Cooler, stacks product on pallets in accordance with proper selecting procedures (e.g., no stacking heavy-on-light, labels facing out, etc.), stages pallets for loading on proper dock locations, stretch-wraps product on loading dock, maintains and safely operates all assigned equipment, including but not limited to pallet jack, and personal protective equipment, and performs pre and post-trip inspections of equipment. Must follow company preferred work methods at all times and follow sanitation requirements in order to comply with policy set forth by the company. This position requires working until all products are accurately selected and loaded including potential overtime on holidays and weekends. Essential skills include the ability to meet or exceed minimum efficiency levels established through an engineered production standard, working rapidly at a constant pace for the entire shift in a fast-paced environment, meeting or exceeding established cases per error goals, and developing a good working knowledge of product, placement, and inventory control techniques and procedures.

Summary:

Reporting to the Facilities Specialist you will support the business by efficient, accurate incoming/outgoing mail and express mail services; assist customers by switchboard, phone and in person. You’ll complete accounting and clerical tasks within established deadlines; maintain confidential information.

 

Responsibilities:

· Have a working knowledge of mail metering machines and ensuring we meet all shipping regulations whether through USPS, UPS or other avenues.

· Accounting tasks including PO’s and payment.

· Sort USPS and interoffice mail and make it available at an internal post office box.

· Sort and help prepare outgoing USPS and express mail items.

· Contact employees by email to pick up express mail packages at the internal post office.

· Assist walk-up customers at the counter.

· Answer and direct incoming calls received through the automated phone attendant; screen calls by following established protocol and direct caller to correct area.

· Maintain information in several data bases such as mail stops, front desk phone numbers, UPS ShipExec, UPS CampusShip.

· Process Facilities Service Requests and Office Space Requests; schedule contractor assistance

· Order office supplies/paper

· Scanning and electronic filing of documents · Perform other clerical tasks when needed.
