Position: Operations Administrative Assistant
Location: Waipahu
Salary: $50,000 – $52,000 annually (depending on experience)
Local company seeking a detail-oriented Operations Administrative Assistant to support daily operations across purchasing, inventory, delivery, service, and administrative functions. This role plays a critical part in keeping information accurate, processes organized, and operations running smoothly. The ideal candidate enjoys working behind the scenes to ensure orders, inventory records, reports, and documentation are completed accurately and on time.
Job Information:
- Process purchase orders and maintain accurate purchasing records.
- Coordinate product returns, vendor credits, and follow-up activities to ensure timely resolution.
- Order operational and warehouse supplies and maintain accurate inventory-related documentation.
- Support inventory management activities, including cycle counts, reconciliations, and discrepancy research.
- Complete and reconcile delivery paperwork and invoices, ensuring accuracy and timely processing.
- Assist with scheduling support, customer confirmations, and other administrative tasks as needed.
- Maintain operational reports, scorecards, trackers, and other recurring documentation.
- Perform data entry, recordkeeping, and document management with a high degree of accuracy.
- Support accounting and operational reconciliation processes.
- Organize files, records, and operational documentation to ensure efficient access and compliance.
- Identify process improvements and support efficient workflow management across departments.
- Work closely with purchasing, warehouse, delivery, service, and accounting teams to support daily operations.

Qualifications:
- Previous administrative, operations, inventory, purchasing, logistics, or coordinator experience required.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong communication and customer service skills.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Comfortable learning new software and systems.
- Ability to work independently while collaborating with multiple departments.
