Job Summary:
We are seeking a highly skilled Senior Administrative Assistant to provide comprehensive executive-level support within a fast-paced, high-visibility office environment. This role requires strong independent judgment, exceptional organizational skills, and the ability to manage confidential information with discretion. You will serve as a central coordination point for internal teams, leadership, external partners, and members of the public, ensuring smooth daily operations and professional communication.
Key Responsibilities:
- Manage complex calendars, appointments, meetings, and travel arrangements.
- Coordinate preparation of materials for internal meetings, board discussions, or committee activities.
- Organize and maintain both digital and physical filing systems
- Screen, prioritize, and route incoming calls, emails, and visitors.
- Serve as a liaison between leadership, staff, partners, and community members.
- Assist with scheduling and coordinating public-facing meetings, events, and site visits.
- Support daily office operations, ensuring smooth workflow and timely follow-up on pending items.
- Monitor office supplies, equipment needs, and general administrative processes.
- Compile background materials, conduct basic research, and prepare informational summaries as needed.
- Maintain confidential records and ensure compliance with organizational policies.

Qualifications:
- Bachelors or Associate degree preferred
- 6+ years of administrative or clerical experience with demonstrated strengths in written communication, organizational skills, and office technology.
- 3+ years supporting a department head, manager, or executive with minimal supervision.
- Strong typing, document preparation, and proofreading abilities.
- Excellent planning, prioritization, and multitasking abilities.
- Ability to work effectively under pressure and meet tight deadlines.
- Strong interpersonal skills, with the ability to communicate clearly and professionally.
- Experience handling confidential and sensitive information.
- Proficiency with common office software, communication tools, and document management systems.
