We are seeking a dedicated and detail-oriented Office Admin/Mail Service Specialist to join our dynamic team. In this role, you will play a key part in ensuring that our office operates smoothly and effectively. You will be responsible for managing day-to-day administrative tasks and overseeing all aspects of our mail service operations. Your role will involve facilitating communication and collaboration within the office by handling incoming and outgoing mail, including packages and correspondence. Additionally, you will assist in maintaining office supplies, equipment, and overall organization, contributing to a productive work environment. As an integral part of our administrative team, you will engage with various departments to streamline processes and provide support where needed. You will also be the point of contact for any mail-related inquiries, ensuring that all correspondence is processed efficiently, allowing teams to focus on their core responsibilities. Responsibilities
· Have a working knowledge of mail metering machines and ensuring we meet all shipping regulations whether through USPS, UPS or other avenues.
· Accounting tasks including PO’s and payment.
· Sort USPS and interoffice mail and make it available at an internal post office box.
· Sort and help prepare outgoing USPS and express mail items.
· Contact employees by email to pick up express mail packages at the internal post office.
· Assist walk-up customers at the counter.
· Answer and direct incoming calls received through the automated phone attendant; screen calls by following established protocol and direct caller to correct area.
· Maintain information in several data bases such as mail stops, front desk phone numbers, UPS ShipExec, UPS CampusShip.
· Process Facilities Service Requests and Office Space Requests; schedule contractor assistance · Order office supplies/paper · Scanning and electronic filing of documents · Perform other clerical tasks when needed.
- High school diploma or equivalent; associate degree or higher preferred.
- Proven experience in an office administration role, preferably with mail services experience.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written.
- Proficient in using computer applications and office software including Microsoft Office Suite.
- Detail-oriented with a commitment to accuracy in all tasks.
- Ability to work independently as well as collaboratively within a team environment.
