The Bookkeeper/Office Administrator position is vital to the success of a company. The Bookkeeper/Office Administrator will perform all accounting and administrative activities at the company.

Job Description:

  • Answer the telephone, redirect calls and greet visitors
  • Receive the mail and distribute accordingly
  • Organize and maintain supplies of stationery and equipment (such as coffee, office, and bathroom supplies etc.)
  • Meet and greet all company visitors
  • Effectively utilize computer software such as Microsoft Office programs, and accounting software, Jonas Premier
  • Book any required international or domestic travel and accommodations
  • Devise and maintain office systems, including data management, filing, etc.
  • Maintain and record the costing on each project (entering labor hours into Jonas Premier)
  • Submit employee hours to our payroll companies for all employees in both the US and Canada
  • Check and review timesheets and punch cards to match hours for costing &payroll
  • Interact as needed with accountants
  • Material test reports matching
  • Issue customer invoices according to contract requirements and agreements
  • Collect receivables if payments are not received within agreed terms on purchase orders
  • Handle employees concerns with regards to payroll
  • Conduct and process all new hire documentation packets
  • File and process all HR documentation
  • Reconcile AP sub-ledger and AR sub-ledger to GL
  • Handle customer & supplier inquires in regards to accounts payables and receivables respectively
  • Reconciling monthly credit card expenses into the accounting system
  • Reconcile bank accounts on a monthly basis; post cash receipts and prepare bank deposits when required
  • All other administrative and book keeping duties
  • Be aware of and work in accordance with company policies – especially confidentiality



Job Requirements

Qualification :

  • Experience dealing with personnel at shop and office level

  • Experience answering multi-line phones 
  • Experience with contract accounting at the small business level
  •  Strong verbal and written communication skills 
  • Experience with Microsoft Office software and Jonas Premier
  •  Familiar with progress billing and percentage of completion/completed contract methods of revenue recognition
