Job Title:               Traffic Desk Clerk/Scheduler

Department:          Office

Reports To:           Office Manager/Director, Accounting/Administration

Pay:                      $16.39 -$20 /hour depending on experience

 

SUMMARY

Compiles and maintains records of inbound and outbound product shipments and office activities of company by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

Completes receipts including pallet for loads.

 

Signs drivers in and notifies warehouse for dock assignment.

 

Coordinates with warehouse and transportation to ensure timely and accurate preparation of shipping and receiving documents.

 

Prints pallet tags.

 

Receives, counts, and logs cash received by carriers.

 

Enters information in computer for shipping and receiving.

 

Verifies product and count to ensure accuracy of data entered in computer.

 

Maintains WMS Scheduler, hard copy schedules, and wipe boards on traffic activity. 

 

Notifies applicable management personnel of pending no shows and/or unscheduled arrivals.

 

Completes and verifies paperwork with drivers and releases drivers.

 

Arranges outbound pick up appointments for MTS carriers and customer pick ups by customer's trucks/carriers.

 

Calls carriers for late and/or no show trucks for ETA's of drivers and reschedule appointments as necessary.

 

Provides yard check information daily to customers.

 

Generates and compares information to verify accuracy of product to be shipped with request.

 

Operates office machines such as adding, calculating, fax, copy machines, and PC.

 

Greets and assists visitors/drivers.

This job has no supervisory responsibilities.

 

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

 

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively and professionally before groups of customers, employees of organization, and drivers.

 

MATHEMATICAL SKILLS

Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's.  Ability to perform these operations using units of American money and weight measurement, volume, and distance.

 

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

SUMMARY

Carries out all customer service activities such as responding to inquiries and handling complaints, issues, and concerns, in a prompt, courteous, and effective manner by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Communicates with customers by phone or in person.
  • Accepts and enters orders from faxed or emailed documentation.
  • Verifies schedule to ensure all orders have been scheduled correctly.
  • Verifies product availability on all orders and communicates product shortages to customer.
  • Generates all related paperwork required for customer orders, checking order for special requests and post inventory records.
  • Coordinates special requests with traffic and operations, expediting order as needed.
  • Traces orders as required and notify customers of any activity concerning account.
  • Verifies orders have been posted (finalized) on a daily basis.
  • Maintains reported OSD claims and completes weekly OSD logs.
  • Addresses complaints concerning billing or service rendered, referring complaints of service failures to designated departments for investigation.
  • Acts as liaison between operations and customer in managing account and account needs.
  • Prepares daily, weekly, and monthly reports for customer activities.

 

Work Environment:

  • Fast paced office setting connected to a warehouse & food manufacturing environment
  • Must be capable of multi-tasking and communicating with a variety of people and personalities
  • Must be comfortable and confident with basic computer and phone skills  
  • The warehouse itself is a cold storage environment. Warehouse bays are kept at a constant 32 degrees (and below in certain areas). Noise level in the warehouse varies and at times and can be loud

 

Job Requirements:

  • Bachelor’s degree from a four-year college or; or four years related experience and/or training; or equivalent combination of education and experience 
  • Knowledge of WMS a plus
  • Excellent and effective communication skills
  • Excellent computer skills, proficient in Microsoft Outlook, Word and Excel
  • Disciplined self-starter capable of motivating other.
  • Common sense approach to business practices
  • Strong work ethic that continually raises the bar towards perfection
  • Ability to read, analyze, and interpret company policies, procedures and agreements

Position overview:

The primary purpose of this position is to ensure that our product is shipped in a timely and professional manner to our customers, both internal and external. This position is responsible for general warehousing functions which include shipping and receiving of local skylight company products, physical inventory and bar coding.

Primary Functions:

• Shipping and receiving of company products to both internal and external customers.
• General warehousing functions including: picking, loading and unloading trucks, stocking, labeling, packaging and driving a forklift.
• Assist in conducting physical inventory and bar coding.
• Installation of blinds.

Qualifications:

• Must have a High School Diploma or GED. Proof Required
• 1-3 years shipping and receiving experience as well as general warehousing knowledge is preferred.
• Must possess good math skills to help with physical inventory counts.
• Must possess strong planning and organization skills.
• Experience with hand tools and assembling parts preferred.
• Certified Forklift license is preferred.
• Experience with physical inventories as well as scanning bar-coded products is preferred.
• Experience with data collection and SAP is preferred.
• Must possess an overall good work, safety and attendance record and desire to work within a team environment.
• Must be capable of lifting/reaching/stooping/climbing with weights up to 50 lbs.
• Ability to perform the essential functions assigned to the position.
