We are actively recruiting for a high energy receptionist with excellent communication, organizational and customer services skills. This is an entry level position but working knowledge of MS Office, basic administrative skills and the ability to handle multi line phones are a must. This is a professional, fast paced work environment with lots of customer contact so a person in this position must be able to multi task while maintaining the highest level of professionalism and customer service. This position is located at a location that requires a pre-employment drug screening and background check. If interested and qualified please submit a resume with your application.

Primary job duties may include but are not limited to:

  • Greeting all walk-in customers and ensuring they are checked in and the appropriate person or persons are notified of their arrival
  • Answering Multi-line phones, transferring calls to the appropriate extensions, taking accurate messages (by hand and / or though Outlook)
  • Setting up conference calls and assisting in the set up of in office and virtual meetings
  • Accepting packages, directing deliveries to the correct department, accepting and shorting mail
  • Booking and confirming customer appointments,  maintain appointment log and Front office calendar.

Other administrative duties associated with this position may include but are not limited to:

General clerical support as needed or directed by supervisor,  filing, scanning documents, creating customer folders, updating basic info in existing and new customer accounts, sending out confirmation emails, updating Outlook Calendar, basic data entry in Excel and industry specific software. 

Job Requirements

Minimum requirements:

  • Excellent customer service skills (we need a real people person)
  • One or more years experience as a Receptionists, Greeter or Customer Service Specialist in a professional work environment.
  • Working knowledge of Microsoft Office (effaces on Outlook and Excel)
  • Basic Data entry skills
  • Ability to manage busy multi-line phones
  • Strong written and verbal skills
  • Problem solving / conflict resolution skills and if needed the ability to deescalate
  • Strong organizational skills and attention to detail
  • Ability to work interdependently as well as in a team environment
  • Ability to maintain professional demeanor and appearance while in a fast paced work environment
  • Able to pass a pre-hire background check and drug test
  • Bilingual is a plus but not necessary  
  • Ability to great every customer with a smile in person and over the phone.

This position is part of a very customer focused team and being able to work in a fast paced environment while remaining customer focused and greeting each customer and potential customer with a smile and/or joy is a priority.
