Remedy Intelligent Staffing/Inkinen & Associates is in search of a full-time Office Administrator to assist in overseeing internal operations and be a direct support to multiple managers within two collaborative organizations. The ideal candidate will have several years of experience and should be able to work on many tasks at once. You must be able to multi task and accommodate last minute requests, work well under pressure, meet deadlines, and be attentive to details. Candidate must have a good attitude and be able to work in a team-oriented atmosphere. This position would be responsible for front office duties, including greeting appointments. No task is too big or too small. Additional duties will include filing, creating documents, and any additional administrative duties. Every day is a different day in our office.

ESSENTIAL RESPONSIBILITIES:

  • Responsible for ALL administrative functions in the office
  • Greet visitors and inform appropriate coworker of the arrival of their appointment. In addition, this position contributes to the security of the organization by monitoring visitors.
  • Responsible for ensuring that conference rooms, meeting rooms and reception areas are ready for candidates visiting Inkinen/Remedy.
  • Filing - Ensure that file organization is in accordance with office and State/Federal protocols
  • Occasional errands including picking up lunch
  • Ordering supplies, signing for delivery, picking up mail, running reports, etc
  • Update both Inkinen and Remedy websites
  • Provide data entry support for payroll and other human resources functions
  • All other administrative duties as assigned

Experience and Education:

  • Must have a college degree and at least 3 years of working in an administrative position.
  • Previous customer experience with maintaining warm, professional interactions and relationships is a plus
  • Knowledge of human resources and/or marketing is a plus
  • Experience with monitoring confidentiality records and operations is a plus

Skills and Knowledge:

  • Good interpersonal and customer service skills -- being courteous, professional and helpful -- are critical for this position. Oral and written communication skills.
  • Being an active listener who is patient and asks appropriate questions when necessary.
  • Along with the ability to relay information accurately to others.
  • Ability to operate a wide range of office technology, such as operating a multi-line telephone system, computer, copier and fax machine.
  • Proficient in Microsoft Office (Outlook, Word, PowerPoint and Excel).
  • Photoshop and video editing skills required
  • Excellent organizational skills.
  • High level of computer skills is a must and proficiency.
  • Working efficiently and quickly in a very busy office environment with handling multiple tasks all needed to be completed immediately.

Pay: $40,000-$50,000 annually

Location: Downtown Honolulu Hours: Monday - Friday 8:00 am to 5:00 pm
