Operations Coordinator

The Complaint Coordinator is overall responsible for maintaining accurate complaint/issue records, including logging and routing for investigation by escalating product performance complaints to the Complaint Entity, or to the responsible Department Manager/Designee on site for the investigation of Service Issues. In addition to orchestrating any requests and follow up actions needed, up until the complaint/issue is ready for QA review and closure. The Complaint Coordinator is the main source of communication (internally and externally) related to complaints, service issues, and RMA’s and ensures Quality Assurance is provided the complaint record for final review and closure within a timely manner.

ROLE AND RESPONSIBILITIES

• Responsible for logging, updating and maintaining accurate complaint documents on a daily basis upon receipt and for accurate data entry to the complaint and service logs, up until the complaint is ready for QA review and closure.

• Responsible for communication (internal and external) pertaining to open/pending complaints request.

• Notifying the manufacturer of product performance related complaints and logging actions on the complaint log. (Quality Assurance is to be copied on the email and reminders are to be set so that follow up status request are made if needed).

• Responsible for forwarding internal service complaints to the proper department manager so that the investigation/actions taken are noted. • Issuing RMA’s/ Call Tags for requested returns- no later than 3 days following receipt of request, as well as responding to representative status request, related to an RMA.

• Reviewing credit request related to a Product/Service complaint to ensure they are applied if applicable to any returned product, as well as verifying product performance returns, against the RMA with the Returns Inspector.

• Communicating with the COMPLAINT ENTITY/Legal Manufacturer in relation to Product Complaints, fulfilling request and processing product returns that shall be forwarded to the manufacturer for testing.

• Providing trend reports weekly to the OPS Support Manager for the review by management.

• Notifying management and QA on any unusual/reportable findings that may be nonconforming.

• Responsible for the organization and cleanliness within the Ops Support Division and that all documents/files relating to open complaints are kept in a neat organized fashion and identified at all times, up until turnover to QA following completion of the investigation findings.

• Assist the Ops Support Manager with any additional request relating to training, personnel files, and or the request of QA in relation to FUO agreements, CofA’s, or other related Quality documents.
